Data Retention & Deletion Policy
1. Active Tenants
While your account is active and in good standing, we retain all data necessary to provide the service. This includes customer records, payment history, router configurations, support tickets, and audit logs.
2. Suspended Tenants
If your subscription is suspended due to non-payment or policy violation, your data is retained for a grace period of 30 days. During this period, you may restore full access by resolving the suspension reason.
3. Archived Tenants
After the grace period, your account enters an archived state for an additional 60 days. Data is preserved but access is restricted to export-only operations. You may request a full data export during this period.
4. Deleted Tenants
After 90 days from the date of termination or suspension, all tenant data is permanently deleted from our systems. This includes customer data, payment records, router configurations, and support tickets.
5. Audit Logs
Audit logs are retained for a minimum of 12 months for security and compliance purposes. After 12 months, audit logs may be anonymized or deleted in accordance with data minimization principles.
6. Payment Records
Financial transaction records are retained for 7 years in compliance with Kenyan tax regulations. Access to archived payment records is restricted to authorized personnel only.
7. Customer Data
Customer data is deleted when the tenant account is deleted. Individual customers may request deletion of their personal data by contacting the tenant organization directly.
8. Data Export
You may export your data at any time through the Platform's export features. Upon account termination, we will make a final data export available for 30 days. Contact support to request assistance with data export.
